Quarantined Emails
How to access and action quarantined mail items in your inbox.
Microsoft will automatically quarantine emails that are sent to your inbox by "risky" senders, these can include senders that you or the UHI organisation has blocked or senders that may be affiliated with various scams. When this happens, you will receive an email from Microsoft's email quarantine service informing you that you have a message waiting. Here is everything you need to know about how to deal with these notifications:
Please note, before interacting with the email in your inbox you MUST ensure that the sender is "quarantine@messaging.microsoft.com" Otherwise, the email may not be legitimate and you may fall victim to phishing.
To access and view your quarantined messages, please navigate to the Microsoft Quarantine page.
Alternatively, you can click on the "Review Message" button found inside the email from Microsoft.
Here is what a quarantined email message looks like in your inbox:
Here is what the quarantined emails page will look like once the "Review Message" button is clicked:
Once you have found a quarantined email on this page, select it by clicking on the message directly or the check-box next to it. When you select a message it will then pop out a side menu with several pieces of information about the message. From this stage you can select the 3 dots next to the message name to view further actions related to the message.
Releasing a quarantined email:
It is not recommended to do this unless you are sure of the legitimacy of the quarantined message, please preview any email before releasing it by selecting "preview message" from the menu bar above the email in your list, it will look like this:
From here, the email can be requested to be released by an administrator by following the below process:
- In the "Request release" Fly-out menu, review the information and select the "Request release" option.
- In the "Release requested" Fly-out menu, select "done". On the main page of the quarantine site, the status of the message will change to "Release requested". An administrator will then review your request and either approve or deny it from there.
If this option is greyed out, or unavailable please get in touch with the ServiceDesk via the email form on the Unidesk SSP or by forwarding the quarantined email to servicedesk@uhi.ac.uk.
Delete an email from quarantine:
It is not necessary for users to delete messages from quarantine manually as messages which are quarantined and not deleted will be automatically purged and deleted 15 days from when the email was originally quarantined.
However, users can still manually delete messages from quarantine should they be inclined by following the below process:
When an email is deleted from quarantine, the message is entirely removed and is not sent to the recipient(s).
After selecting an email in quarantine, use either of the following methods to delete it:
- In the email tab, click on the checkbox on the left side of the email and select "delete messages".
- In the "details" fly-out menu of the selected quarantined email select the 3 dots option and then "delete from quarantine"
